How to … process Cambridge exam results

The results are stored on dropbox, analysed in Google Sheets and recorded on the student history records in LangLion. These notes have been written for both FCE and CAE, but use the CAE sheet as an example. The structure of the spreadsheets is pretty much the same, but the individual cell references may not be exactly the same. If you’re not sure, check the video.

  • prepare the results spreadsheet
  • create new tab for results
    • Find the tab for the most recent exam sitting
    • Duplicate it
    • Rename duplicate to Cambridge session name
    • Move sheet to left of previous sheet

  • create a new results folder
    • In the directory Dropbox/Teaching Resources/Exam Preparation/Exam results/
      create directory called YYMM-CAE results MmmYY (e.g. 1612-CAE results Dec16 / 1612-FCE results Dec16) where:
      • YYMM is, for example, 1612, 1703, 1704
      • MmmYY is, for example Dec16, Mar17, Apr17
  • save PDF of all exam results
    • Go to https://preparationcentres.cambridgeenglish.org/
    • Select the exam session you want, selecting
      • View detailed candidate result: This will show a statement of results and graphical profile
      • click on “Go” -> Run Report
    • Save this file in the created directory in the form YYMM-CAE All results MmmYY (e.g. 1612-CAE All results Dec16)
  • enter student results
    • Go to newly created tab in the results spreadsheet
    • Delete the information that was duplicated, up to column G (the results will calculate automatically and act as an accuracy check)
    • Copy and paste the name from the results into column A
    • Enter the scores in columns B to G.
    • Check the results are correct by checking the total in column H against the total on the original statement.

  • create individual documents for each student in the folder
    • create pdf document for each page student
      • save separate pdfs for each student page
      • rename all documents to the student name

  • Get student messages for LangLion
    • get shared url in dropbox
      • click share button on dropbox.com / right click folder on windows/mac and create external link
    • convert dropbox url to goo.gl
      • go to goo.gl
      • sign in as nevalencia15@gmail.com
      • paste dropbox link and create a goo.gl link
    • update cell X1 with the results message e.g. (CAE Results December 2016)
    • update cell X2 with the goo.gl code from above
    • copy columns T and U for every student
    • copy the cells in column U, and paste them into the list (asana, or wherever) to be updated on LangLion

    • (Note: In the video the students’ messages omit their first names, which has been corrected since.)
  • update langlion with results
    • unarchive (with students) the groups for these students
    • for each student update their results
      • go to student history
      • ensure you locate the correct history record for the time they did the exam (usually an exam class)
        • if they were in another class (e.g. a general standard class), unarchive it without students, and unarchive the student separately
      • update note, with the exam date and with note type ‘result’, then paste the message

    • at the end of the process, archive all groups again with students.
  • ensure that totals are correct on the spreadsheet
    • there are a number of checks to ensure that our stats are correct.
      • first, confirm the data in the results sheet
        • check that cells C3:H3 (the averages) are correct, and include all students
        • check the first student is correct
        • check that the information in columns I:Q are correct
        • copy cells in columns I:Q from the first student, and paste into those cells for all the other students.

      • then confirm the data in the ‘CAE summary / FCE summary’ sheet
        • create a new line after the most recent set of results
        • copy the most recent set of results onto this second created line
        • change the formulas right across this row to reference the same information as the line above (usually changing the numbers back on in the formulae)
        • when the second line has the information duplicated from the first, change the formulae in the first line to reference the newly added sheet
        • go to the section called ‘Past 12 months’, and eliminate any sessions which are not during the past 12 months
        • data is now available for interpretation
